SharePoint Just Got WAY Better: Workflows, Approvals, Quick Steps & Rules Explained


SharePoint has introduced significant updates aimed at improving automation within Lists and Libraries, streamlining workflows to enhance productivity. These include integrated workflows that allow automation to be directly built within SharePoint without jumping between tools, making it easier for users to simplify repetitive tasks through Quick Steps, which offer button-based automation in grid views. Users can create custom action buttons without coding, utilize existing metadata, and instantly act on selected items. SharePoint’s Approvals feature has been massively improved with easier configuration, default approvers, and ordered multi-stage approvals, which can be tracked directly within SharePoint and the Teams Approvals app. Rules can also be established to automatically trigger actions like notifications when files or list items meet specific conditions. These updates reduce technical complexity, enabling business users to define processes and workflows independently, making this a crucial enhancement for anyone using SharePoint.
